A Gala, benefiting Operation Underground Railroad, can be a fantastic way to celebrate successes, garner support, and relay the impact donors have on moving this work forward.
With careful planning, a solid strategy, and ample support, volunteers and volunteer teams can host a successful gala.
Planning Your Event
Determine your invite list. Reach out to established donors. Encourage established donors to support your event.
Be creative. Create an event that will impress your guests.
Establish ticket pricing. Set pricing for individual tickets, ticket pairs, and table groups of 6-10. Examples of ticket pricing: Individual Ticket – $100-$200, Ticket Pair – $150-$340, Table – $1,000-$2,000.
Rally support. Reach out to existing partners and community sponsors to help with the costs of the event. Sponsors can donate center pieces, food, or a specific cash amount. Sell your event; share O.U.R. statistics and sponsor/donor impact, outline the benefits sponsors will receive –including recognition, speaking opportunities, and brand sharing.
Reach out to new partners, community organizations, and businesses. Do this by asking local volunteers for contacts and looking for organizations with similar passion for eliminating trafficking.
Don’t forget to follow up via phone within a week after sending your sponsorship letter.
It’s important to motivate your attendees. This can be done in several ways – guest speakers, compelling videos, music. Fill out a Speaker Request Form if you are interested in a member of O.U.R. staff to speak at your event. Not all requests can be filled. The Operation Underground Railroad YouTube channel offers many compelling videos to share with your audience.
Determine your menu and fundraiser. Galas often include a 5-course meal followed by an opportunity to donate via Fund a Need or Item Auctions.
It’s important to know your donors. Create an event that meets the interests of your supporters.
